Open Source Electronic Document Management Systems?

Hi Guys!@!@

I need some recommendations for an EDMS, currently using Kordil, but it sucks.
I'm half way decided on writing my own but before I sink too much time into it I thought I'd see what others are using

I'm happy to buy commercial software if someone can recommend me a product that you use successfully, but I'm hesitant to drop coin on a product that I can't test first ..

a lot of my clients are using dataworks... but i believe it's quite expensive.
another starts with X... name escapes me now...

We're in the early stages of using Sharepoints document management system, works even better if you use OCS/Lync since you get presense information making collaboration a bit easier.

nah Google Docs isn't really up to the task, part of the specification is that you can do version control, source control etc
for example you might have a document you produce in word but send to people in PDF so they can't edit it, you need to be able to upload the source (doc) & final (pdf) copy into the one file container

Sharepoint is what the other side are using
we're setting this EDMS up to take their documents, they use sharepoint .. but we hate it - it will be a last resort

we use trim, i wouldn't recommend it but it sounds like it would do what you want. i don't like it because its been set up to stop you being able to save your documents normally in office, which ends up being a pain in the arse.

Also I get a lot of direction from above saying "Add this feature, change that feature" - with OSS it's easy(ish), with off the shelf stuff its near impossible

The thought you will get a quality product with great support/service that is able to do all you need out of the box that is also open source is a very naive thought.

All Enterprise CMS systems tend to be a steaming pile of poop, IMO it comes down to picking the one that stinks the least.
"Add this feature, change that feature" maintenance tasks are a killer hidden cost though, previous staff at the current gig got told they needed so much customisation that they thought it'd be cool to implement their own CMS from scratch and it turned out to be an extremely expensive proposition over time. Hope you find an off the shelf one you're after.

first of all, this .. coming from you? hahaha

secondly, we don't need any support at all - we're a bunch of developers that have no extra time right now and this bit of kit doesn't need to tie in with anything else we've got deployed, so I was hoping there might be something already written that I can just quickly deploy

@Dazhel, We only require the EDMS functions, we have no real need for a full blown CMS
Something more like this - http://www.opendocman.com/ - But I need something that is fully (or close to) ISO 9000 compliant

I'll check out Documentum, if it doesn't work we're just going to have to write our own

I'll be interested to see what you find; I've been curious about this for a while because we just dump everything in poorly organised Windows shares and it's a fucking nightmare trying to find anything.

I'm looking at ubuntu right now, and I'd say it's pretty high quality. Most of the internet would have been classified as open source right?

But I assume you mean a single product in a very niche sector. In which case the benefits of opensource are mostly removed but the negative remain.

Teq - drop me a pm with some of your requirements - I've just started working for a new company and their DMS might be of interest.
It also has a completely open API as well as integration kits for products like sharepoint.

You could use something like drupal with file framework/RDF. Not sure if it would cater for your needs but it's pretty easy to setup and it's free.

At work we are currently upgrading to Sharepoint 2010. I'm not a member of the sharepoint team though so I can't speak from the developers standpoint as to what pain is involved. Feature-wise 2010 seems to cover a lot of what you want.

I don't quite understand the sharepoint hate, but then again I have never had to administer or develop for it.

I made something similar for a lead management system ages ago, it was very strait forward...

page for user to upload document
page for user to search/browse indexed documents
> click document
> select version - doc - pdf etc
> option to email > mass mail > print

Took me about 2 days to get working properly.. it was all web based as a lot of staff were working remotely... I went through the same problem though, all the open source stuff was very clunky and packed full of useless features... in the end it turned out to be faster to make something simple instead of ripping out features from an open source project and modifying the ones I wanted.

I know this isn't particularly helpful but I thought I'd share my experiences with a similar situation where it turned out faster to start from scratch.

Oh just read what you need, maybe look at some wiki, atlassian make some smashing products, confluence with version controlling etc http://confluence.atlassian.com/display/DISC/Using+Confluence+For+Document+Management

Then they have alfresco connectors that can integrate to your confluence docs

we use eroom, but i think sharepoint is better - google wave + google docs would have been interesting to look at.
